Position Overview:

The role involves maintaining an organized workplace, managing equipment/asset levels, recording health assets, raising purchase orders, establishing relationships with service providers, and collaborating with commercial teams to ensure timely procurement of health assets.

The key focus of this role is to support the clinical asset team in administration duties.

Specific Roles Include

Perform general administrative tasks as needed to support the smooth operation of the health services department and commercial activities.

Procurement Support

  • Ensure timely procurement of health assets in compliance with procurement policies.
  • Maintain accurate records of procurement activities, including but not limited to all supplies and company assets.
  • Ensure timely delivery of goods and services and resolve any delivery discrepancies.
  • Manage the end-to-end procurement process, including requisition review, purchase order creation, and invoice verification.
  • Act as the point of contact for warehouses on-site regarding health department orders.
  • Collaborate closely with commercial teams in Zambia and South Africa to ensure timely procurement of health assets and adherence to contract requirements.
  • Ensure the items, products and supplies received meets the company’s quality standards.
  • Raise purchase orders on behalf of the health team through different warehouses (FQMO, KML, and KMP) using Pronto.
  • Establish and maintain relationships with identified service providers.
  • Ensure compliance with healthcare regulations, procurement policies, and commercial standards.
  • Stay updated on regulatory changes impacting healthcare procurement and commercial operations.
  • Work with the team to meet deadlines and complete duties as required.

Qualifications

  • Minimum Grade 12 Certificate
  • Bachelor’s degree in Business Administration, Supply Chain management, or related field.
  • Proven experience (10+ years) as a procurement officer or similar role.
  • Familiarity with procurement software and systems. (OMNI , Pronto)
  • Strong negotiation, communication, and interpersonal skills.
  • Attention to detail and ability to work under pressure.
  • Knowledge of procurement regulations and ethical standards.

General

  • High level of written and spoken English.
  • Proficiency in computer skills, including MS Office and procurement software.
  • Analytical and problem-solving skills.
  • Ability to work independently and collaboratively in a team environment.
