Grassroot Soccer Zambia is an adolescent health Organisation that leverages the power of soccer to Educate, Inspire and Mobilise youth in Zambia to overcome their greatest health challenges, live healthier, more productive lives, and be agents for change in their communities. Registered as a local Non-Governmental Organization, with programs reaching an estimated 40,000 young people annually. The overlapping epidemics of gender based violence, HIV, and broader sexual and reproductive health are the primary target of our work, with complimentary programming on youth leadership and employability.

Grassroot Soccer Zambia seeks to fill the Intern positions stated below:

1.   Finance and Administrative Intern

Administrative Role

  • Procurement of Office and Program supplies, ensuring collection of necessary supporting documents (Quotations, Invoices, Receipts etc.)
  • Filing of all relevant GRS internal documents with correct supporting documentation.
  • Managing the stores room items, receiving, issuing, and replenishing with proper tracking records
  • Managing all GRS Utility bills (Electricity, Water, telephone etc.)
  • General office upkeep: tidiness, document displays.
  • Assist in organisation and execution of internal GRS meetings.
  • Front Office duties; meeting with suppliers, signing visitors in and out of the office with strict adherence to all COVID-19 guidelines.
  • And other duties as requested by the Supervisor.

Financial Role

  • Supporting the Finance Officer in all matters
  • Handling Petty Cash and making sure all supporting documents are received.
  • Preparing payment vouchers
  • Ensure organised & adequate filing of all financial documentation including receipts and invoices.
  • Assisting in preparing all documentation for the annual audit by external auditors.

Programmatic Support

  • Help organise the logistics and supplies for Coaches’ Kits and other materials.
  • General assistance to Projects, Programme staff and Managing Director as requested.

Qualifications

  • Diploma or bachelor’s degree in Accounting or Finance and/or Business Administration
  • Strong time management skills
  • Detailed oriented with strong organizational skills.
  • Must be able to work individually and as part of a team.
  • Moderate to strong knowledge of all Microsoft Office programs

2. Monitoring and Evaluation Intern

Monitoring

  • Develop project monitoring plan (PMP) of the projects in line with project LFA and consulting with programme team and partners.
  • Conduct regular visits to sites to carry out process monitoring as well as gather feedback from participants.
  • Ensure implementation of field activities adheres to monitoring and evaluation system.
  • Identify and document success stories and case studies on extra-ordinary aspects of the programs.
  • Coordinate with site coordinators for collecting data against agreed indicators.
  • Engage with Site Coordinators to collect and manage essential data of their respective projects.
  • Ensure quality of data collected by Monitoring and evaluation intern, data capturers and the site coordinators.
  • Provide feedback to partners and programme teams on projects’ performance based on monitoring data findings.
  • Assist Programs in building capacity of Partners on Planning, Monitoring and Evaluation (PM&E)

Evaluation

  • Assist in designing, coordinating, and conducting project evaluations (mid-term and end-line)
  • Assist in designing, coordinating, and conducting evaluations – midterm and end-line.
  • Support partners in designing and disseminating research studies by providing relevant input.
  • Assist in developing quarterly, six-month, and annual reports.
  • Assist in designing and conducting Post Implementation Monitoring Surveys (PIMS)
  • Conduct regular visits to sites to carry out process monitoring as well as gather feedback from participants.
  • Assist in conducting Programme Data Review

Reporting and Documentation

  • Supervise regular data collection and ensure quality of the data by random verifications.
  • Assist in developing quarterly, six-month, and annual reports.
  • Develop and share field visit reports with relevant staff.
  • Upload key reports as requested.

Planning

  • Assist during multi-year plan and budget (MPB) process to develop a good quality MPB for the country programme (CP)
  • Assist Manager in reviewing project plans during MPB process.
  • Ensure quality of data/ statistics in project plans.

Learning and Sharing

  • Share learning from M&E process with the wider team
  • Support partners in improving learning and sharing mechanisms in their projects.
  • Promote culture of two-way learning in the organisation.
  • Contribution to Effectiveness of the Programme
  • Work collaboratively with different programmes for strengthening integration and cross-learning in programmes.
  • Proactively volunteer for various team activities.
  • Show an eagerness to take on any other tasks assigned by the line manager.

Other Duties and Responsibilities

  • The Intern may be required to perform duties that are beyond the scope of the job description in mutual discussion and agreement with the supervisor.

Qualifications

  • Diploma in Development Studies, Public Health, or any Social Science studies.  A Degree in any Social Sciences will be an added advantage.
  • Keen to learn, ability to work with drive and enthusiasm and function in team-oriented environment.
  • Computer proficiency in Database Management, Statistical packages, Microsoft office suite (especially Excel)
  • Good and acceptable facilitation skills
  • The ability to identify essential information.

3. Communications Intern

Responsibilities:

The applicant will provide support in the following areas.

Social Media:

  • Draft and organize social media content to promote Grassroot Soccer Zambia’s work, videos and media coverage on Twitter, Facebook, LinkedIn and Instagram
  • Contribute to social media quantitative and qualitative analytics reporting.
  • Create and coordinate content for social media campaigns and observances
  • Monitor and research influencers, trending topics and tools.
  • Source content from GRSZ Staff , SKILLZ Coaches and SKILLZ Participants.
  • General social media planning, research, reporting and coordination as assigned by the supervisors.

Writing and Editing:

  • Photo captions
  • Blogs
  • Project descriptions
  • Interviewing
  • Copyediting

Photo, Video and Graphics:

  • Edit and format photos and videos for social media and web
  • Photo, video and audio editing
  • Photography and videography
  • Infographics
  • Gifs, animations and graphics
  • Digital asset management

Media Relations:

  • Help compile and update media contact lists
  • Prepare media reports on assigned subjects
  • Assist with press release/media advisory writing, editing, distribution, and media outreach
  • Identify and research opportunities to share success stories from SKILLZ Participants and Coaches
  • Assist with media interview scheduling and coordination
  • Assist with scheduling and coordinating of photo/video shoots with GRSZ staff, coaches, participants and the general community.

Miscellaneous Communications and Administrative Support:

  • Taking notes during meetings
  • Create and manage PowerPoint presentations
  • Report preparation for meetings and presentations
  • General Programmatic, Monitoring and Evaluation and Communications support as assigned.

Qualifications

  • Minimum Diploma in Communications
  • Excellent knowledge of English with fluency in speaking, reading and writing.
  • Strong interest in working in the adolescent health space
  • General IT competence and command of main office software programmes
  • Internet communication and searching skills
  • Social media skills
  • Ability to work in a multi-cultural environment and a strong team working capacity.
