1. Position Description: Assistant Accountant – Financial

Main Purpose: To assist in the preparation of financial transactions such as Taxation and other statutory deductions, bank reconciliation, projects accounting and provide any other reports as requested by supervisors

Responsibilities
  • Maintain good relationship between the divisions and institutions and finance department
  • Preparing information for IHQ and external audits
  • Ensure the recording of financial transactions conducted over a period of time
  • Ensure financial records are balanced as part of preparation for annual external audits
  • Produce reports which guide the financial decisions of TSA
  • Advice and recommend to TSA management issues related to revenue, investment, and expenses
  • Implement strategies effective for limiting tax liabilities and on the other hand ensure consistent tax filing
  • Analyze business operations, investments and liabilities to determine the financial status of TSA
  • Carry out surveys to identify accounting needs and implement strategies effective for improving operational efficiency
  • Compile and analyze data to prepare quarterly and annual statements for TSA
  • Develop and implement standards for effective record keeping and data management
  • Provide response to internal financial enquiries by collecting, analyzing, and interpreting data
  • Ensure compliance with standard financial regulations and policies when carrying out job activities
  • Act as company tax agent and provide necessary information to the Senior Accountant on all Tax related matters before a tax authority
  • Preparing purchase/payment requisitions for VAT free purchases.
  • Preparing ZRA Returns (VAT)
  • Preparations of Journals
  • Preparing Cash Books
  • Financial monitoring of Micro Credit Project Funds in the field to ensure funds are used properly & according to guidelines.
  • Assistant accountant in Netsuite.
  • Any other duties as assignment by leaders and supervisor
Person Specifications
  • Excellent knowledge of accounting regulations and procedures
  • Hands-on experience with accounting software
  • Advanced MS Excel skills including
  • Experience with general ledger functions
  • Strong attention to detail and good analytical skills
  • Minimum of Licentiate level qualification, degree in accountancy
  • Relevant professional certifications e.g. ZICA, ACCA or CIMA equivalent is required.
2. Position Description: Assistant Accountant – Management

Main Purpose: To assist in the preparation of management accounts such as performance reports for divisions and other institutions including projects as assigned. Provide budget support to divisions and Institution and provide any other reports as requested by supervisors.

Responsibilities
  • Bookkeeping entries of Divisional accounts in NetSuite
  • Training and support to Divisional Finance Officers and divisional leaders
  • Collecting data from divisions/Institutions, analyzing and advise to Financial Secretary on the issues
  • Preparing information for IHQ and external audits
  • Prepare specific financial reports as requested by management
  • Record financial transactions and reports for projects, departments and for the overall TSA.
  • Filling receipts for projects and submitting to supervisor for suceessful closure of projects
  • Prepare draft financial statements for internal and external use
  • Prepare variance analysis reports regularly so as to reconcile spending within budget for divisions
  • Analyze financial performance and forecast for divisions
  • Maintain records and support auditing efforts
  • Maintaining good relationships with donors and project staff
  • Preparation of Bank reconciliation statements for projects Accounts.
  • Financial monitoring of Project Funds in the field to ensure funds are used properly & according guidelines.
  • Financial Reports for specific Projects assigned.
  • Disbursement of funds to projects sites and preparing requests for funds
  • Preparation of Interim income & expenditure statements divisions or specific projects or analysis.
  • Assistant accountant in Netsuite.
  • Any other duties as assignment by leaders and supervisor
Person Specifications

3. Position Description: Administrative Assistant

Main Purpose: To perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our Secretary for Business Administration, Secretary for Program and Financial Secretary, assisting in daily office needs and managing Departmental general administrative activities.

Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

Responsibilities
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Plan and arrange seminars and conferences
  • Write and distribute email, correspondence memos, letters, and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain organizational policies and procedures
  • Order office supplies and research new suppliers
  • Maintain contact lists
  • Make travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients for the department
  • Liaise with executive and senior administrative assistants to handle requests and queries from leaders
  • Prepare requested reports and gathering data as requested from departments
  • Staff Role in Netsuite
  • Any other duties assigned by supervisor or leadership
Person Specifications
  • Grade 12 Certificate.
  • Diploma or equivalent in Secretarial.
  • Diploma In Business Administration is an added advantage.
  • Minimum 3 years work experience.
  • Proficiency with computers and office equipment is mandatory.
  • Excellent written and spoken Communication Skills.
