POSITION SUMMARY

This role requires strong organizational skills, discretion in handling sensitive information, and a commitment to upholding our values of fairness, dignity, and child protection. The HR Assistant will work closely with the HR Manager in promoting a culture of transparency, inclusion, and operational excellence.

Key Responsibilities:

Administrative Support

  • Maintain and update coworker records (digital and physical)
  • Prepare HR documents such as contracts, letters, and forms
  • Assist in organizing staff files in compliance with internal SOPs

Recruitment & Onboarding

    • Coordinate job postings and application tracking
    • Schedule interviews and communicate with candidates
    • Support onboarding processes, including orientation and documentation

Compliance & Recordkeeping

  • Track leave, attendance, and probation periods
  • Ensure accurate documentation for NAPSA, NHIMA, and other statutory requirements
  • Assist in preparing reports for audits or internal reviews

Coworker Relations & Support

  • Respond to routine HR queries with professionalism and confidentiality
  • Support implementation of workplace policies and procedures
  • Help facilitate trainings or awareness sessions (e.g., child protection, anti-fraud)

Communication & Coordination

  • Draft internal memos, meeting invites, and HR-related announcements
  • Liaise with departments to ensure smooth HR operations
  • Assist in organizing HR meetings and maintaining minutes

Administrative Duties

  • Manage documentation and medico-legal correspondence
  • Adhere to hospital policies and HPCZ ethical guidelines
  • Participate in audits, clinical meetings, and continuous professional development

Qualifications & Skills:

  • Full Grade 12 Certificate
  • Diploma in Human Resources Management, or related Business field. Degree added advamtage
  • Minimum 1- 3 years practical experience
  • Registered member of the Zambia Institute of Human Resources Management.
  • Strong communication, teamwork, and decision-making skills
