These positions are critical to enhancing the administrative operations of the University and require individuals who demonstrate high levels of professionalism, discretion, and strong organizational skills.

(1) JOB TITLE: EXECUTIVE ASSISTANT – 1 POSITION

JOB PURPOSE:

To manage executive-level administrative functions and streamline operations within the Office of the Vice Chancellor, enabling the Vice Chancellor to focus on strategic priorities.

PRINCIPAL ACCOUNTABILITIES:

1. Track Strategic Plan indicators, coordinate and track action items arising from internal meetings and external engagements
2. Coordinate and manage the Vice Chancellor’s calendar, ensuring timely scheduling of meetings, official engagements, travel, and follow-ups in alignment with institutional priorities
3. Screen correspondence, prepare briefing notes, draft high level communication, and ensure timely responses
4. Liaise with Deans, Directors, and external stakeholders on behalf of the Vice Chancellor
5. Maintain confidential files and institutional records with accuracy and integrity

6. Support the Vice Chancellor in the preparation of reports, minutes, speeches, presentations, and policy documents
7. Ensure efficient follow-up of key institutional tasks assigned by the Vice Chancellor

QUALIFICATIONS AND EXPERIENCE:

  • Full Grade 12 Certificate with at least five (5) credits including English
  • Bachelor’s Degree in any Social Sciences or Business related field
  • Certificate in Management Development for Executive Assistants or its equivalent will be an added advantage
  • Minimum of five (5) years’ experience in a similar role, preferably in a public institution or university setting

KEY ATTRIBUTES:

  • Good organizational and time management skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook Ability to work under pressure and handle multiple priorities
  • Sound judgement and attention to detail
  • Self-driven and proactive
  • Strong sense of discretion and diplomacy
