Job description:
Specific Job Responsibilities:
- Generate and prepare data reports for all software the department uses.
- Draft and prepare daily, weekly and monthly reports supporting monitoring activities.
- Liaise with end users and other stakeholders regarding data reports and resolve related issues.
- Monitoring data to ensure data integrity is maintained.
- Maintain databases, registers and spreadsheets.
- Generate purchase orders in Pronto.
- Generate pick slips in Pronto.
- Monitor stock and coordinate replenishment to ensure correct stock levels are maintained.
- Assist in preparing and reviewing other departmental reports.
- Respond to requests to update or maintain data and communicate changes to relevant stakeholders.
- Maintain any other administrative duties in the department.
- Manage timesheets for the department.
- Update leave / payroll management by providing the department with relevant employee information.
- Book various travel arrangements internally, from travel to processing expenses.
- Act as the point of contact for internal and external clients.
- Other duties as instructed by the Supervisor.
Qualifications & Experience:
- Grade 12 Certificate.
- A minimum of 2 years related experience.
- Degree in Business Administration, Human Resource, Public Administration or related field.
- Proficiency in Microsoft office.
- Gallagher Software experience will be an added advantage.
Knowledge & Skills:
- Ability to show initiative and have good interpersonal skills.
- Must have good communication skills in the English language with an emphasis on writing skills.
- Must be able to coordinate administration within the department effectively and efficiently.
- Must be able to liaise with end users and other stakeholders to support the operation’s effectiveness and efficiency.
- Must be able to communicate exceptionally well in English.
- Must possess an advance knowledge of English vocabulary.
- Good knowledge of HR Systems.
- Ability to show initiative and have good interpersonal skills.
