Role Identification
Main Role: Administrative Assistant
Location: Secretariat
Reports to: Finance and Administration Manager/ Registrar
PURPOSE OF THE ROLE:
To be responsible for ensuring that all administrative aspects of the Association as well as basic hum resource activities are well coordinated and run smoothly at all times
KEY RESPONSIBILITIES (RESULT AREAS)
- Handles administrative functions at the Secretariat
- Handles maintenance, transport, security functions and general administrative office support
- Delivers general office support services to ensure efficiency and effectiveness in the delivery of the service that supports smooth business operations
- Monitors the management of the ZMA vehicles to ensure efficiency and adequate transportation facility
- Manages office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
SKILLS REQUIRED
- Decision making and problem solving ability
- Excellent reporting/minutes writing skills
- Strong interpersonal skills High level of integrity and confidentiality
MINIMUM QUALIFICATIONS AND EXPERIENCE
- Grade Twelve (12) certificate
- Diploma in Business Administration, or any equivalent field
- Minimum of 2 years work related experience
