Zambia National Forest Commodities Association (ZNFCA) is a community service membership-based farm forestry and environmental conservation organization. It was established to promote ecological and sustainable management of forests and farm forestry commodities and farmlands in Zambia by its membership for the benefit of future generations. The association seeks to achieve this aspiration by promoting and safeguarding forestry growth, reducing deforestation, and advancing socially responsive, ecologically sound and economically sustainable forestry and farm forestry business models in Zambia.

The Association invites applications from suitably qualified and experienced individuals who are innovative, energetic and performance driven to fill the following position:

Administrative Assistant

Location: Lusaka

Department: Administration & Accounts

Report to: National Coordinator

Period of contract: 1-year renewable

Job Purpose

To streamline the functions of all the elements within this system to ensure that all the activities of the Secretariat are carried out in a systematic manner so as to safeguard and add value to assets as well as facilitate and enhance financial reporting.

The implementation of sound financial and accounting systems is therefore designed in such a way as to ensure that:

  1. All transactions are executed only upon proper approval and authorization;
  2. Only valid transactions are recorded accurately to permit preparation of financial statements that conform to generally accepted accounting standards, and
  3. All assets are safeguarded in a healthy control environment.

Main duties

  • Documenting financial transactions by entering account information in the correct books.
  • Preparing payments by verifying documentation, and requesting disbursements. This includes salaries and wages.
  • Maintaining partners and stakeholders’ confidence and protecting operations by keeping financial information confidential.
  • Maintaining financial security by following internal controls.
  • Preparing special financial reports by collecting, analyzing, and summarizing account information and trends.
  • Complying with financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.
  • Executing any other role that may be assigned to you by the National Coordinator.

Qualifications and experience

Professional

  • Full grade 12 certificate
  • Diploma in accounting, finance or tax
  • Degree will be added advantage
  • ZICA membership license is an added advantage.
  • Must be able to plan and meet targets timely;
  • Must be proficient in the use of Microsoft Office, excel and at least 2 accounting Software;

Minimum Relevant Pre-Job Experience:

  • Experience with financial reporting requirements
  • Experience in working for not-for-profit is preferred;
  • Minimum two-year experience in accounting/finance

Skill Specifications:

  • Accounting and understanding of Generally Acceptable Accounting Principles
  • Financial Reporting Skills
