Spectra Oil Corporation is seeking a dedicated Receptionist and Administrative Assistant to serve as the linchpin of our Lusaka office. This is a pivotal role where your coordination and administrative excellence will ensure seamless daily operations and enhance overall workplace efficiency.

Responsibilities
- Manage all front-office operations, providing a professional first impression by welcoming visitors, efficiently screening and directing calls, and maintaining a tidy, well-presented reception area.
- Provide comprehensive logistical coordination for travel, accommodation, meetings, and training events, ensuring all arrangements are effective and within budget.
- Administer key staff welfare programmes, including the accurate registration and renewal of medical scheme memberships and the timely management of uniforms and PPE.
- Maintain accurate, confidential personnel records and filing systems, ensuring all employee documentation is promptly updated and securely stored.
- Process staff leave requests and maintain precise records to support accurate payroll and attendance reporting.
- Support the recruitment cycle by coordinating interview schedules, communicating with candidates, and assisting with onboarding documentation.
- Ensure the continuous availability of essential office supplies, groceries, water, and functional telecommunications equipment.
- Proactively handle administrative challenges to prevent disruption to the office workflow.
Qualifications
- Education: A university degree in any discipline is essential. A degree or certification in Human Resource Management is advantageous.
- Experience: At least 2 years of proven experience in an office administration or front desk role. Prior experience with HR processes, such as recruitment coordination, records management, or logistics, is essential.
Required Skills
- Exceptional organisational and communication skills.
- High attention to detail, proficiency in MS Office, and the ability to handle confidential information with integrity.
